Manager/Supervisor
As an “HR & Office Manager Portugal” for Waratah Unipessoal LDA (“Waratah”), part of Scenic Group, you will be held responsible for overseeing the HR Department and the Office management in Porto. Reporting directly to the “Director Portugal Operations ” you will play a pivotal role in ensuring strict adherence to our company's standards of excellence, safety protocols, and operational objectives while maintaining budgetary considerations.
Requirements
•Ideally, possess a background in a Position at any River Cruise Company demonstratinga deep understanding of office and navigational principles and maritime regulations.
•Strong administrative background & knowledge of MS Office
•Organized, flexible, positive, open-minded, excellent team player, able to work underpressure.
•Languages: Portuguese & English mandatory
•Previous experience in human resources position
•Solid knowledge of the Portuguese labour law
•Strong ethical and people skills
•Attention to detail and processes
Operational Excellence:
Ensure that all vessels under management comply with Scenic Group's cost, safety, quality, operational objectives, policies, and budgets. Monitor and optimize vessel costs, safety measures, quality standards, and operational performance, including officer and crew performance.
Safety and Quality Assurance:
Provide invaluable input for developing, maintaining, and enhancing all safety and quality documentation, including issuing Ship Circulars. Implement rigorous safety and quality assurance measures to safeguard the well-being of passengers, crew, and assets.
Leadership and Training: Foster a culture of continuous improvement and excellence within the ship department. Identify training needs and provide internal or external training programs to enhance the skills of nautical staff.
Responsibilities:
•Attention to detail and processes
•Act as legal Representative in Portugal for the company “Waratah” (Scenic Group).
•Replacing the “Director Portugal Operations”
•Ensuring HR policies comply with local, State, and Federal regulations•Performing HR projects and processes delegated by the “Director of HR Operations –River & Ocean”•Assisting crewmembers with inquiries on HR-related topics
•Educating and training Captains in HR-related topics – performance management, compliance procedures, resignation/termination procedures, health & accident insurance, social benefits, etc.
•In cooperation with the Corporate team responsible for manning and scheduling of crew members
•Preparing and issuing all contractual documentation and submitting to crew members
•Registering and proper handling of all crewmember data into HR system – Radiant Fleet
•Monitoring respective crewmembers and documents and certificates submission and expiry dates•Responsible for proper handling and registration of correct data in case of illness or accident of crewmembers on board
•Collaborate and correspond with external partners, i.e. respective Agents and authorities, and ensure compliance with necessary requirements
•Visiting crewmembers during the season and performing Crew talks
•Keeping track records of Crew talks
•Checking monthly salary entries of crewmembers for accurate execution
•Assisting our “Head of Tax, Legal and Compliance” with any legal, tax or compliance matters.
•Taking care of the declaration and payment of Social Security for the crew and office employees.
•Daily Bank operations incl. payments
•Administration and reordering of office supplies
•Risk Management: Implement preventive and corrective actions related to safety and quality management systems.
•Serve as the Head of the Emergency Response Team to mitigate risks and respond to emergencies effectively.
•Monitoring the Ship & Office Payroll
•Preparing and issuing contractual and supplemental documents for office employees
HR Plattform - Radiant Fleet
•Preparing and issuing contractual and supplemental documents for submission tocrewmembers
•Activating crewmembers once they receive the signed contract
•Collecting all required crewmember information and documents and entering them in thesystem
•Reviewing and approving crewmember changes and notifications entered via CrewPortal
•Reviewing Expense entries and approving for execution
•Reviewing Evaluations
•Review Payroll data for accurate execution – checking expenses, vacation accruals,overtime hours etc.
Additionally
•Develop/design SOPs for HR-relevant topics and update them accordingly
•Develop/design Crew Manual topics and update accordingly
•Participation at Kick-Off
•Participation at SST training
•Assisting with recruiting
•Control of ship & warehouse inventories
•Ship-side inspections
